Here’s what you need to know before you register for the CFC USA 2018 Conference to be held in Leesburg in Northern Virginia from July 6 to 8, 2018.  Please read through and if you have any questions, please send an email to cfcnova.register@gmail.com.

Venue

The conference will be held at The National Conference Center (NCC), located at 18980 Upper Belmont Pl, Leesburg, VA 20176.  It is a multi-purpose venue used for conferences, trainings, retreats, events, and wedding receptions.  Nestled in suburban Northern Virginia, NCC is surrounded by trees and trails.   See more about this amazing venue at http://www.conferencecenter.com/.  Also, please keep checking our webpage for updates on activities that we are preparing for you that have been made possible because of this great venue!

If you’re looking for places to visit before or after the conference, you should also know that the NCC is located in Loudoun County, which is 30 miles northwest of Washington, DC.  It is best known as “DC’s Wine Country” and you will quickly discover the reason behind the slogan “Virginia is for Lovers” when you explore the area.  Read more about Loudoun County here: www.visitloudoun.org/.

Tip: Make sure to check out 4th of July celebrations in the area, the biggest of which is held right on the National Mall in Washington, DC!

Registration Fee

The registration fee includes conference materials and 4 meals (Saturday breakfast, lunch, dinner, Sunday breakfast).  It does NOT include lodging.  Please review the Lodging section for our recommendations on places to stay and how to book them.

Early bird registration fee (December 2017 to February 28, 2018) $140 per person or $280 per couple
Regular registration fee (March 1, 2018 to May 31, 2018) EXTENDED TO June 3, 2018! $150 per person or $300 per couple
Late registration fee (June 1, 2018 onwards) $160 per person or $320 per couple

Registration will close when we have reached the ballroom’s 1,500-person maximum capacity (including children).

Lodging

Lodging is NOT included in the registration fee so that you can pick the accommodation that is right for you and your family.   Your hotel registration will not be managed by the host area.  Please contact the hotel directly if you have any questions about accommodations.

Please book your lodging as soon as your registration is confirmed. Here are your options:

 

Rooms at the National Conference Center

The National Conference Center’s (NCC) website temporarily cannot accommodate multiple room or suite bookings. If you would like to book multiple rooms or suites, please call NCC’s reservations at 703-724-6170. Hours of operation are 8:30am-5:00pm, Monday-Friday. You can also email the reservations office at reservations@conferencecenter.com. Make sure to mention the Couples for Christ event on July 6-8, 2018.

Otherwise, if you would like to book a single regular room, please use NCC’s Booking website.

Dorm-style rooms are available on-site at the NCC and we highly recommend you stay at the NCC for the following reasons:

  • Convenience – The overflow hotels are at least 5 miles away from the NCC.  Considering the speed limits and traffic in the area, it will take about 15-20 minutes to get to the overflow hotels.  If you stay at the NCC, you are steps away from all the conference activities.
  • Comfort – You have all the amenities in the NCC that you would get in the overflow hotels.
  • Cost – We have negotiated a great group rate for the conference weekend and parking is free!

Things to note about NCC’s accommodations:

  • Regular rooms
    The cost of a regular room is $79 per night + tax. Rooms can accommodate only 2 people. If you are bringing your children to the conference, please book more than one room.  You can also request a Queen or Full-XL bed upon booking.

NCC Regular Room

 

  • Suites (Update: Suites are no longer available – as of 1/1/2018)
    The cost of a suite is $99 per night + tax. Rooms can accommodate up to 4 people but there are only a limited number of suites that are available.

NCC Suite

 

  • As the NCC is a conference center and not a hotel, there is no daily housekeeping.
  • Rooms are arranged in pods with seating areas just outside the rooms.  During booking, you can request NCC to put you in a pod with other members of your household or area.
  • Rooms are limited so book early!

Guest room amenities include:

  • Flat-screen cable television with remote
  • Complimentary high-speed wired or wireless Internet access
  • Voice over IP telephone with voicemail
  • Alarm clock with MP3 connection
  • Ample desk space with ergonomic chair
  • Coffee maker, hair dryer, iron and ironing board
  • ADA accessible guestrooms are available

NCC’s Cancellation Policy:

  • Cancellation needs to be done at least 3 days (72 hours) prior to check-in in order to avoid any cancellation charges.
  • If cancelled less than 72 hours, guest will be charged one night room rate plus tax.
  • If a no-show or guest failed to cancel at all, guest will be charged the total amount of entire duration/stay.

 

Overflow hotels

Overflow room blocks have been arranged with a few hotels in the area.  Please note that there is no shuttle service to/from the overflow hotels to NCC.

 

Other accommodations available

There are many other hotels and homes for rent in the area given the close proximity of the NCC to the Dulles International Airport. Please use your favorite travel site to find deals in the area.

Food

Your registration fee includes Saturday breakfast, lunch, dinner, and Sunday breakfast. They will be served at the casual, self-serve dining hall at the NCC.  A variety of food and beverage options will be provided.

Breakfast

The dining hall will open early for Saturday & Sunday breakfast and conference delegates will be able to come as they please.

Lunch

For Saturday lunch, conference delegates will need to select from two different seating options during registration because the dining hall cannot accommodate everyone at the same time.   Each lunch seating option is 45 minutes long. We kindly request that you vacate the dining hall upon completion of your lunch period in consideration for others who are assigned a later seating time.

If your preference is no longer available, you will be added to the next available seating time.   You will be informed of your assigned dining time and group no later than one week prior to the conference. Children registered in KidZone will belong in the same seating group as their parents.

  • Seating A (12:00 NN)
  • Seating B (1:15 PM)
  • Seating C (1:15 PM. Available only for Extra Meals Purchased *).
Dinner

For Saturday dinner, the dining hall will be open from 4:30pm-8:00pm.  Only dessert will be served in the ballroom during the Saturday evening Social.

 

* Purchasing Extra Meals

You have the option of purchasing an extra meal plan at the cost of $95.00 per person. This plan is intended for any members of your family who are not going to be registered in or do not qualify for KidZone.  The plan includes casual, self-serve style meals for Saturday breakfast, lunch, dinner, and Sunday breakfast. Saturday Lunch for this group will be served during the “shoulder” times before and after the lunch rush.

KidZone

The KidZone is available for all children from ages 4 to 14.  The fee includes 4 meals: Saturday breakfast, lunch, dinner, and Sunday breakfast.

Note: For Saturday lunch, parents will need to pick up their children from KidZone and eat with them at NCC Dining Hall at the parent’s assigned seating time.

For 1st child $50
For 2nd child $40
For 3rd child and up $30

The KidZone will be open when talks are ongoing at the Ballroom and during the Saturday Night Social.

Closest Airport

The closest airport is the Dulles International Airport *, or IAD.  It is about 14 miles away from NCC.  Uber to NCC from Dulles Airport will cost about $30-$35. A taxi ride will approximately be from $35-$40.

Other airports in the area include:

Reagan National Airport (DCA) in Washington, DC (approximately 40 miles away from NCC)

 

Baltimore/Washington International (BWI) Thurgood Marshall Airport in Baltimore, MD (approximately 70 miles away from NCC)

Dining options near the National Conference Center

Saturday and Sunday meals are included in your Conference fee.  For Friday dinner, there are a variety of dining options within driving distance of NCC.  Google or Yelp to search for restaurants in the Lansdowne, Ashburn, Leesburg and Sterling areas.  Cooking food is strictly prohibited at the NCC.

Conference T-Shirts

You can order a Conference T-shirt at the time of registration.  The cost is $10 per shirt.  All shirts are unisex and are available in the following sizes: S, M, L, XL, XXL.

Methods of Payment

Payments can either be made by check (mailed in) or made online by credit card.  You will have the option to select one method of payment at the time of registration.

If you choose to pay by CREDIT CARD, all rates will have a 2.99% convenience fee added to them.  A $0.30 charge per transaction will also be added to your total.   Example: If you are an Early Bird couple registrant, your total would be $288.67 (versus $280 if you are paying by check).

Refund Policy

While we regret that you will miss the conference, we understand that there may be unforeseen circumstances that will preclude your participation.  Should you need to cancel your registration, please contact the registration team at cfcnova.register@gmail.com to request for a refund at least one week prior to the conference (June 28, 2018).  If you cancel after that time, we may not be able to refund the full registration fee (minus transaction fees) due to material expenses incurred related to your registration.  We may also not be able to refund the conference t-shirt fee if the t-shirts have already been ordered.

Don’t forget to contact your hotel separately to cancel your reservation or request a refund.
